Immediate Position Opening for MICUA's Executive Assistant

Job Description:

MICUA’s Executive Assistant handles a broad range of duties to support the operations of a seven-person office, including office administration, meetings and events, and special projects. MICUA is an association that provides public policy leadership in support of independent higher education, fosters cooperative efforts among member institutions and Maryland’s public colleges and universities, and serves as a liaison between its 15 member campuses and the state and federal governments.   

Responsibilities include:

Office Administration

  • Maintain the office calendar
  • Answer and direct phone calls
  • Receive, sort, and distribute mail
  • Reply to email, telephone, and face-to-face inquiries
  • Prepare and distribute written correspondence
  • Maintain contact lists and directories
  • Handle sensitive information in a confidential manner
  • Develop and maintain electronic and manual filing systems
  • Maintain office supplies inventory
  • Perform other administrative duties as assigned in support of the organization
  • Participate in team meetings, campus events, and Board activities
  • Perform typing, copying, binding, and scanning
  • Handle sensitive information in a confidential manner
  • Take accurate minutes of meetings
  • Reply to email, telephone, and face to face enquiries
  • Coordinate repairs to office equipment
  • Perform other duties in support of the organization


Meetings and Events

  • Provide logistical support for quarterly Board of Trustees meetings
  • Schedule and organize meetings with campuses, legislators, and other key constituents
  • Take accurate minutes of meetings
  • Prepare written materials for meetings, including agendas, presentations, and briefing books
  • Help plan and organize annual events such as the Presidents’ Fall Workshop and Maryland Independent Higher Education Day


Special Projects

  • Work on special projects in collaboration with other MICUA staff members in their areas of responsibility, including communications, research and policy, government affairs, and campus relations
  • Maintain legislative database and review bills and testimony during the legislative session
  • Assist in the drafting and preparation of reports
  • Help maintain and update MICUA’s social media accounts and website



  • Knowledge of office management systems and procedures
  • Excellent time management skills
  • Ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Experience with social media platforms
  • Proficient in Microsoft Office Suite, including Word, Excel, Access, and PowerPoint
  • Proficient in Adobe Acrobat Pro

Prior relevant experience or professional training required.
